7 Invoice Mistakes That Delay Your Payments

You did the work. The client is happy. But your invoice has been sitting unpaid for three weeks. Before you assume it's a slow-paying client, check whether the invoice itself is the problem.

1. No clear due date

"Payment due upon receipt" sounds firm, but it's vague. Clients without a specific date will deprioritize your invoice behind ones that say "Due July 15." Always state an exact date.

2. Vague line items

"Consulting — $2,000" tells the client nothing. Break it down: hours worked, deliverables completed, or specific tasks. Approvers are far more likely to question (and delay) a charge they can't understand at a glance.

3. Sending it to the wrong person

The person who hired you isn't always the person who pays the bill. Ask early who in accounts payable should receive invoices, and cc them directly instead of routing everything through your main contact.

4. Missing a PO number

Mid-size and large companies often can't process an invoice without a matching purchase order number. If your client mentioned a PO, put it front and center — its absence is one of the most common reasons enterprise invoices bounce back unpaid.

5. No easy way to pay

If your "payment instructions" are a 16-digit bank account number buried in a paragraph, you're adding friction. Make payment details obvious, and if you can accept a direct payment link, even better.

6. Inconsistent invoice numbering

Skipping numbers, reusing them, or formatting them differently each time looks disorganized and makes it harder for a client's bookkeeping system to track what's been paid. Keep it sequential and consistent — something a free invoice generator does automatically.

7. No follow-up

The invoice itself isn't the mistake here — the silence after it is. If an invoice goes seven days past due with no response, a polite follow-up email (not a single email and then silence for a month) keeps you near the top of the payment queue.

Fixing all seven at once

Most of these mistakes come from manually rebuilding invoices in a document editor, where it's easy to forget a field or skip a number. Switching to an invoice generator built with these requirements in mind removes the guesswork — due dates, sequential numbering, and clear line items become the default instead of something you have to remember.
